Are you ready to make a significant impact in a dynamic and global environment? As Executive Assistant (EA) to the COO at Allianz Partners, you'll BE at the heart of driving strategic initiatives that shape the future of our operations. Reporting directly to the Head of Office for the Group COO, you'll play a pivotal role in delivering exceptional services to our business partners, optimizing operations, and enhancing customer satisfaction - all while supporting global strategic priorities.
In this exciting role, you'll BE the engine behind strategic projects, working closely with several stakeholders; senior leaders across Allianz and coordinating efforts with various Board member offices, the CEO Office, and other Allianz entities. Your mission? Ensuring timely and high-quality delivery of projects and initiatives that leverage the expertise of the Operations leadership teams.
What you do
Strategy & Project Management
- Lead and Collaborate :Oversee and contribute to global strategic projects, managing documentation, prioritizing tasks, and assessing risks to drive success.
- Prepare for Success : Organize and prepare strategic meetings, including annual Strategic and Planning Dialogue, Audit alignments, Board Meetings, and COO Meetings, by creating impactful presentations and conducting thorough analyses.
- BE the Catalyst : Manage daily business activities and handle ad-hoc requests, actively participating in projects that require your sharp project management skills and analytical prowes
Governance
- Connect and Communicate : Foster strong governance and communication with all COO-related stakeholders, including direct reports, regional and local leadership, and global office teams.
- Ensure Excellence : Follow up with senior managers and peers to ensure projects are completed accurately and efficiently, serving as a liaison between group centers and departments on behalf of the COO.
- Coordinate Reviews : Facilitate the coordination of internal and external reviews, ensuring consistent reporting and alignment with the COO and other key stakeholders.
Communication
- Lead the Change : Take a pivotal role in strengthening and driving the Operations communication strategy, ensuring IT aligns with our strategic goals and enhances engagement across all levels.
- Craft Compelling Messages : Develop and deliver impactful internal and external communications, including intranet updates, newsletters, articles, and blogs that resonate with diverse audiences and drive engagement.
- Enhance Engagement : Spearhead the Allianz Engagement Survey (AES) and implement strategic follow-up measures to boost organizational engagement and foster a culture of open communication and collaboration.
What you bring
- Experience that Counts : Demonstrated success in a similar role or in fields such as business administration, project management, or consulting, with finance experience being a valuable asset.
- Industry Insights : Solid understanding of the Insurance and/or Assistance business, with expertise in insurance operations considered an advantage.
- Relationship Builder : Exceptional interpersonal skills, with a proven ability to forge strong relationships across all organizational levels.
- Analytic Thinker : Proven ability to analyze complex information and draw insightful conclusions that inform strategic decision-making.
- Master of Prioritization : Excellent prioritization skills, adept at filtering information, optimizing resources, and managing competing priorities under tight deadlines.
- Organized and Detail-Oriented : Highly structured and organized in your approach to work, with keen attention to detail that ensures precision and accuracy, while adept at keeping up with several diverse topics at the same time.
- Tech Savvy : Advanced proficiency in MS Office (PowerPoint, Excel, Outlook, Teams, PowerBI, etc.), enabling you to leverage technology effectively in your role.
- Language Proficiency : Fluent in English with excellent writing skills; proficiency in French and German is a plus, enhancing your ability to communicate in diverse setting
