1. Customer Liaison & Booking Management
- Receive shipping order (S/O) booking instructions from shippers, examine and verify the accuracy and completeness of booking documents.
- Complete space reservation with appropriate shipping lines or airlines in accordance with clients' requirements regarding sailing schedule, freight rate, service standards and other demands.
- Obtain and check booking confirmation, then deliver delivery order (S/O) and other relevant documents to clients or trucking fleets.
2. Documentation Preparation & Verification
- Bill of Lading (B/L): Draft B/L based on confirmed B/L samples from clients, and finally confirm with carriers for issuance of original bill of lading, telex release B/L or Sea Waybill.
- Customs Declaration Documents: Coordinate with clients to collect precise customs filing materials including packing list, commercial invoice, sales contract, etc.
- Other Certificates: Prepare documents such as Certificate of Origin (C/O), insurance policy, dangerous goods declaration form when required.
- Guarantee 100% accuracy of all document information, including commodity description, package quantity, weight & measurement, consignor & consignee, shipping marks and other details.
3. Internal & External Coordination & Order Follow-up Internal Coordination
- Maintain close communication with the sales team to clarify customer demands and special requests; liaise with the finance department to confirm settlement status.
External Coordination
- Confirm shipping space, cut-off time for port entry and customs closing deadline with shipping lines / airlines.
- Coordinate with warehouses and yards for cargo warehousing and container loading arrangements.
- Follow up customs clearance progress with customs brokers.
- Keep regular communication with overseas agents and branches to transmit cargo information, guarantee smooth customs clearance and cargo pickup at destination ports.
4. End-to-End Cargo Tracking
- Track real-time cargo status covering factory pickup, inland transportation, port customs declaration, vessel/aircraft loading till arrival at the destination port.
- Promptly update and notify clients of milestone information such as on-board confirmation and Estimated Time of Arrival (ETA).
- Proactively identify and resolve transportation anomalies including shipment delay, space shortage, customs inspection, etc., and report relevant issues to clients and supervisors timely.
5. Expense Handling & System Data Entry
- Accurately input business data into the company's internal operation system.
- Conduct preliminary expense audit, assist sales and settlement teams in account reconciliation with clients and suppliers.
Le profil recherché
- Bachelor's degree. Majors in International Trade, Logistics Management, Shipping Management, English or other related disciplines are preferred.
- More than 2 years of relevant working experience in freight forwarding industry.
